Facilities Manager

Position Summary

The Facilities Manager is responsible for overseeing the day-to-day operations, maintenance, and safety of all organizational sites. This role ensures that facilities are functional, compliant, and supportive of staff, youth, and families.

The Facilities Manager manages vendors, coordinates repairs and maintenance, and implements systems to improve efficiency and responsiveness across all locations. This role also ensures that all spaces are safe, welcoming, and aligned with organizational standards and child protection policies.

This is a multi-site role that includes regular travel between both standalone locations and co-located partner sites, requiring strong coordination, communication, and problem-solving skills. 


Key Responsibilities

Facilities Operations & Maintenance

- Oversee facilities operations across all sites, ensuring safe, clean, and functional environments

- Coordinate and respond to maintenance requests in a timely and organized manner

- Develop and maintain preventative maintenance schedules

- Conduct regular site walkthroughs to proactively identify and address facility needs

- Track and monitor facility issues, ensuring timely resolution

 

Vendor & Contractor Management

- Manage relationships with external vendors (janitorial, HVAC, repairs, security, etc.)

- Obtain quotes, coordinate services, and oversee vendor performance

- Ensure vendors meet organizational standards and expectations

- Monitor service contracts and support cost-effective decision-making

 

Multi-Site & Partner Facility Coordination

- Oversee facilities across a mix of standalone and co-located partner sites

- Serve as the primary point of contact for facility-related coordination with partner organizations

- Clarify and manage responsibilities between the organization and partner sites

- Coordinate with partner facilities teams or property managers to resolve issues

- Ensure organizational spaces within partner sites meet internal standards

 

Facilities Projects & Improvements

- Coordinate small to mid-size facility projects, repairs, and upgrades

- Manage timelines, vendors, and logistics for facility improvements

- Track project progress and support cost-effective implementation

- Identify opportunities to improve facility functionality and efficiency

 

Safety, Compliance & Risk

- Ensure facilities meet safety standards and regulatory requirements

- Maintain records related to inspections, permits, and facility compliance

- Support emergency preparedness and response protocols

- Identify and escalate facility-related risks

 

Youth-Centered Facilities & Environment Standards

- Ensure all sites are safe, welcoming, and appropriate for children and families

- Conduct regular assessments of environment quality and safety across locations

- Support implementation of child protection and safety-related facility standards

- Identify and coordinate improvements to spaces to better support youth engagement and staff use

- Partner with program and operations leadership to ensure consistency across sites

 

Facilities Systems & Process Improvement

- Develop and maintain systems for tracking maintenance requests and facility issues

- Improve workflows for reporting and resolving facility needs

- Support a shift from reactive to proactive facilities management

- Maintain organized documentation related to facilities operations

 

Collaboration & Communication

- Reports to Director of Operations

- Serve as the primary internal point of contact for facility-related needs

- Communicate clearly with staff on issue status and timelines

- Partner closely with Operations leadership to align on priorities and needs

 

Qualifications

- 3–5+ years of facilities, property management, or related experience

- Experience managing vendors and contractors

- Strong organizational, problem-solving, and communication skills

- Experience working across multiple sites or locations preferred

- Familiarity with safety and compliance requirements

- Experience in nonprofit, school, or community-based settings preferred

Compensation

Salary range: $70,000 – $85,000, commensurate with experience

Full-time, salaried (exempt) position
