Executive Assistant for Friends - Utah (Full Time)

We do this by providing children facing the greatest obstacles with a long-term, paid professional mentor, called a Friend, from kindergarten through high school graduation – 12+ years, no matter what. Founded in 1993, Friends of the Children reaches thousands of children in 33 locations across our national network. Friends of the Children-Utah launched its chapter in 2020.

Position Summary:

The Executive Assistant provides essential administrative support to the Executive Director, ensuring efficient operations and contributing to the organization's overall success. The ideal candidate is highly organized, detail-oriented, and passionate about supporting our mission.

Key Responsibilities:

  • Executive Support:
    • Manage and coordinate the Executive Director's calendar, scheduling meetings, travel, and appointments.
    • Prepare and edit documents, presentations, and reports.
    • Conduct research and gather information as needed.
    • Handle confidential information with discretion.
  • Office Administration:
    • Maintain office supplies and equipment.
    • Coordinate office maintenance and repairs.
    • Manage incoming and outgoing mail and correspondence.
  • Development and Marketing Support:
    • Assist with donor database management and stewardship.
    • Prepare grant proposals and reports.
    • Coordinate fundraising events and activities.
    • Assist with event planning and logistics.
    • Research corporate, community and individual prospects for fundraising.
    • Support corporate communications and marketing efforts including social media newsletters, and team communications.
  • Program Support:
    • Provide administrative support to the program team as needed.
    • Assist with data entry and reporting.
  • General Administrative Tasks:
    • Greet and assist visitors.
    • Answer and direct phone calls.
    • File and organize documents.
    • Perform other administrative duties as assigned.

Qualifications:

  • Proven experience as an Executive Assistant or similar administrative role.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Experience working in social media platforms, graphic design, and marketing materials preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).  
  • Ability to work independently and as part of a team.
  • Commitment to Friends of the Children's mission and values.

HOURLY

$17.00 - $23.00 Hourly, DOE
